As the new year approaches, it’s the perfect time for Pony Club committees, instructors, volunteers and families to reset, refresh and get organised for the season ahead. A little preparation now can make the year run more smoothly and help everyone focus on what really matters — enjoying Pony Club and supporting our riders.
Review Roles and Responsibilities
Start the year by confirming your club committee and key roles. Making sure positions are filled, responsibilities are clearly understood, and contact details are up to date helps prevent confusion later in the season. It’s also a great time to welcome new volunteers and ensure they feel supported from the start.
Check Policies, Paperwork and Compliance
Before the first rally, review important policies and documentation. This includes ensuring Working With Children Checks are current, office bearer forms have been submitted, and members are correctly registered. Taking care of compliance early avoids delays and stress once activities are underway.
Refresh Your Gear and Facilities
A new season is the ideal time to check your gear and facilities. Inspect jump equipment, flags, ropes, radios and first aid kits, and make sure everything is safe, clean and ready for use. It’s also a good opportunity to walk through your grounds and identify any maintenance or safety issues that may need attention before riders return.
Plan Your Calendar Early
Setting your rally dates, events and activities early helps members plan ahead and improves attendance. Clear communication of dates, venues and expectations makes life easier for families and volunteers alike. Where possible, lock in instructors, helpers and key officials early to avoid last-minute scrambles.
Communicate with Your Members
A strong start to the year begins with clear communication. Share important information with members before the season kicks off, including key dates, updates, reminders and expectations. Regular communication helps everyone feel informed, included and confident heading into the year.
Support Your Volunteers
Volunteers are the backbone of Pony Club. Checking in, offering support, and encouraging training or development opportunities helps build a strong and sustainable club environment. A positive, supported volunteer team sets the tone for a successful year.
Start the Year with Confidence
Preparing your club early sets everyone up for success. With clear roles, organised paperwork, safe facilities and open communication, your club can focus on creating a positive, enjoyable and rewarding Pony Club experience for all members.
Here’s to a great year ahead for Pony Club NSW — we look forward to another season of learning, teamwork and horsemanship.
